Cancellation Policy
At Viatrix Catering Ltd., we understand that plans can occasionally change. We aim to be as flexible and fair as possible while protecting the preparation and booking commitments made for your event.

Booking Deposits
A non-refundable booking deposit is required to secure your event date. Your booking is not confirmed until the deposit has been received.

Cancellations by the Client
More than 30 days before the event - Any payments made beyond the booking deposit may be refunded.

 

14–30 days before the event - 50% of the remaining balance may still be payable due to preparation costs, staffing and stock ordering.

 

Less than 14 days before the event - The full balance may be payable as food preparation, staffing and event scheduling will already be underway.

 

Changes to Guest Numbers
Final guest numbers must be confirmed no later than 14 days before the event date. We will do our best to accommodate increases where possible.

Outdoor & Weather Conditions
For outdoor events involving our horse box catering trailer, clients are responsible for ensuring suitable access and safe ground conditions.

Power Supply & Generator Usage
Viatrix Catering Ltd. requires access to a suitable electrical hook-up for the operation of our horse box catering trailer where available.

If electrical access is not available at the venue, a generator may be required. Additional charges may apply for generator hire, fuel and usage. This will be discussed and agreed upon during the booking process.

 

Clients are responsible for ensuring the venue provides safe and suitable access for the catering trailer and any required power supply.

Cancellation by Viatrix Catering Ltd.
In the unlikely event that we are unable to fulfil your booking due to circumstances beyond our control, all monies paid will be refunded in full.

Allergens & Dietary Requirements
Viatrix Catering Ltd. operates as a gluten-free and coeliac-safe catering business. Clients must inform us of any additional dietary requirements or allergies before the event.
